COVID-19: IRP, AEP and ISC Response

As we reflect on the effects COVID-19 on the UBC community, we would like to take this time to recognize the dedication of the Integrated Renewal Program (IRP), Application Ecosystem Program (AEP) and Integrated Service Centre (ISC) program teams, and our colleagues across the university for minimizing disruption, as UBC has transitioned to remote work arrangements.

The Integrated Renewal Program (IRP), Application Ecosystem Program (AEP) and Integrated Service Centre (ISC) continue to be priorities for the UBC Board of Governors and Executive. The programs remain committed to delivering a successful implementation of Workday in November 2020. Our program teams continue to work remotely, and we truly appreciate the community’s support and diligence in completing activities that help progress these priorities.

The work the community is undertaking to provide subject matter expertise and real life insight into the functionality of Workday, is vital to ensuring a successful implementation and sustainment of this new system. We appreciate the additional time needed for you and your teams to complete these activities. The program teams are continuing to explore ways in which we can support you. Working with Workday

In the future, new systems, such as Workday, will further guarantee continuity of our work. Working in the Cloud means that Workday can be accessed anywhere. Removing the need for paper based processes, such as timesheets and accounts payable, will mean that less time will be spent on administrative tasks, allowing more time to focus on the mission of the university. It is more important now, than ever, that we keep progressing towards our implementation date and enable the modernization of our systems.

FAQs​

Will there be any further extension to the program timeline as a result of COVID-19?

The program is on track to deliver implementation for HR and Finance in November 2020. There is currently no indication that the go-live date needs to be re-evaluated. The program continues to complete readiness assessments, as part of Workday methodology, to ensure a successful implementation.

Will there be an impact on training?

The program teams are continually assessing the situation and exploring the feasibility of contingency plans, including delivering the training schedule wholly online. The original schedule allowed for 50% delivery online. Future decisions will depend on how the COVID-19 situation develops. We have seen great success with engagements using our online tools and will continue to explore ways to support the community online.
