This November marked the 2nd anniversary of UBC’s transition to Workday for both HR and Finance. We wanted to take this opportunity to thank our partners and the broader UBC community for your support this year, and share some of the progress we have made together.
Workday Improvements
A key focus for the ISC this year was to improve the visibility and transparency around our ongoing improvements and updates to Workday. Workday enhancements — changes that add new functionality or features, or improve an existing process — are an important part of this work.
In June, we shared our list of Workday Finance enhancements with the wider UBC community, followed by our Workday HR (HCM) and Payroll enhancements list in October. These lists allow UBC faculty, staff, and leaders to see our current planned improvements.
Working with HR, Payroll, and Finance, we made over 250 significant changes to Workday in 2022. These improvements include things like streamlining the onboarding process in Workday, allowing employees to generate their own employment verification letter, reducing the runtime of the Grants Ledger Summary report, launching the new HR operational dashboard, making it easier to correct expense reports to prevent payment delays, and adding various reports to better meet community needs.
While we have made progress, we recognize there is more to be done to meet the evolving needs of our UBC community and we will continue to partner with departments and faculties in the year ahead.
Knowledge and Training
We also made significant strides in continuing to build the community’s – and our own – knowledge and understanding of Workday.
This summer, we launched Workday Webinars, a new event series for administrators and managers. We had 900+ registrations across four HR-focused sessions on recruitment, hiring, absence/time off and change job. Recordings and slides for these events are on our website, and this content will be added to our Workday training courses and Workday Knowledge Base. We’re currently planning future events.
We continue to update and add to our Workday training and Workday Knowledge Base offerings, which are important resources used by many UBC employees. Over 22,000 members of the UBC community visited the Workday Knowledge Base in 2022. Our Workday Knowledge Base now contains over 350 guides. This year, we added 30 new guides, including 5 FAQs, and updated over 200 existing topics.
As always, our primary focus is to provide day-to-day support to the UBC community. Over this past year, we have improved our resolution time for Workday support tickets and issues, and have seen a stabilization in the total number of support tickets we receive.
