As of this week, the Integrated Service Centre will have a new role in UBC’s ongoing support and development of Workday Student and related systems. While we have been working closely with IRP Student for over a year, we will now officially take on more responsibilities as part of this transition.
In some areas, there will be a gradual transition over the next 3 to 6 months to provide some consistency for the UBC community as well as to continue our collaboration with the Student Completion project team.
Our main partner throughout this transition and into the future will be Enrolment Services. We will continue to work closely together to support the UBC student community.
Here are some of the ways our teams will be involved in Workday Student:
- Community Support: As our Service Desk Senior Manager Veekay Padhi shared recently, the ISC has been involved in Workday Student support since October 2023 and we have a dedicated team for Workday Student support. We are also providing personal support to faculty and staff on some systems within the Student ecosystem that integrate with or are outside of Workday.
- Knowledge and Training: New Workday Student resources will be slowly added to the Workday Knowledge Base for UBC employees, and these will also be added to the Training Hub on Confluence (CWL Required). The Hub will be maintained until we establish a replacement. We are also working on new improvements to the Workday Knowledge Base for early 2025.
- Communications and Engagement: Our Change and Communications team will start to share changes to Workday Student that affect faculty and staff through Workday This Week, our news channel. Our new Student Product team, led by Brian Pokojoy, is also partnering with Enrolment Services to set up new groups to gather input from the community on Workday Student.
The ISC has been preparing for the end of IRP Student for a long time: expanding key teams to increase capacity, engaging with Enrolment Services to understand their operational needs and priorities, and building our understanding of the academic lifecycle and student journey at UBC.
A major system change like the move to Workday Student is never without its challenges. Much like when Workday Finance and HR (HCM) launched in 2020, it will take some time for the system to stabilize, and for us to start to move towards ongoing, continuous improvement.
The ISC will continue to work with Enrolment Services, the Student Completion team, and UBC IT to make Workday Student and its ecosystem work better for our community and UBC as a whole.
