Hiring in Workday for Fall 2024 - Webinar
In collaboration with VPHR and IRP Student, we hosted the Hiring in Workday for Fall 2024 webinar to summarize important changes to hiring for all faculty, staff, and student positions, as well as the current best practices for hiring in Workday. Key Changes in Workday
- Faculty, staff, and student employees can access our Resources + Support page from Workday’s Global Navigation Menu.
- With direction from Central HR, the ISC updated how the Posting End Date on job listings appears on internal and external UBC Career sites, so it displays the exact date and time applications close and candidates do not miss a deadline.
- Working with Procurement, the ISC developed new functionality in Workday to alert faculty and staff if they have an unsubmitted draft receipt for the goods and services they ordered.
- In collaboration with Employee Relations, the ISC simplified the way hourly employees submit paid time off requests.
- New process for faculty and staff who submit expenses on behalf of students using their student records, reducing manual work and processing time.
- The ISC and Procurement launched a new form in Workday to capture Privacy and Ethics Information for some types of purchase requisitions.

New or Updated Workday Knowledge Base Resources for Employees
- View My Payslip shows the different ways that employees can view their payslips, as well as brief explanations of payslip fields in Workday.
- Switch Between My Student and Employee Profile Views helps UBC employees who are also students, or have student records in Workday, navigate between these profile views.
- The Benefits and Pay Hub now features visual cards on the Overview page that link to more information about the benefit(s) you are enrolled in or have access to.
- The new Change Work Space offers guidance on how to add detailed building information (e.g. floor, room etc.) to your Workday profile for receiving deliveries.
- With student records now appearing in Workday, the hiring process for faculty, staff, and student positions changed and is outlined in Direct Hire into Faculty and Staff Positions, Direct Hire into Student Positions, Recruitment Hire.
- Request Time Off now explains that hourly employees only submit an absence request when taking paid time off. Entering Time (Hourly Employees) outlines how unionized hourly workers should request paid time off during hours that are eligible for shift premiums.
- Foundation Data Model (FDM) Worktags – Request New or Change now separates Finance Organizational, HR/HCM Organizational and location-related Worktag request types to provide more specific information on where to submit requests.

If you have a proposal for a Workday enhancement, speak with your supervisor or team manager about the idea and send it to us through a general Workday Support request (include the word 'enhancement' in your request).
Next Workday Release is on September 21
Every six months, the ISC manages a Workday-initiated software update, known as a Workday Release. We ensure that Workday remains current, test impacts to existing processes, and evaluate new features that may benefit UBC. For each release, the ISC shares information on our Workday Releases page to explain changes the UBC community can expect to see. Stay tuned for details on the upcoming release!
